Shields Manufacturing Facilities Assistant in Tualatin, Oregon

Shields Manufacturing is experiencing exciting growth and has an immediate need for a detailed and efficient Facilities Assistant. Working under general supervision, this position procures MRO (Maintenance, Repair and Operations) items and materials to support manufacturing and facilities operations. This position also supports the Manufacturing Manager through a variety of organizational and administrative tasks and responsibilities.

MRO Purchasing

  • Responsible for procurement of assigned materials and services in support of MRO (Maintenance, Repair and Operations).

  • Accurately processes accounts payable for the Facilities Department including creating purchase orders, following them to completion and submission to Accounts Payable for payment.

  • Regularly monitors and processes credit card transactions for payment for the Facilities Department according to Company policies and practices.

  • Regularly orders maintenance, custodial and office supplies as well as restocking office and kitchen supplies.

Organizational and Administrative Support

  • Coordination of outside services.

  • Assists with the purchasing and delivery of furniture and building furnishings as directed by supervisor. Checks rooms and furniture to identify needs for repairs or renovations.

  • Assists with bid documents for new construction, remodel, maintenance repairs, equipment and custodial supplies.

  • Maintains an updated record of insurance from external partners (e.g. suppliers, consultants, contractors).

  • Regularly and accurately manages records; including department maintenance, construction, and safety records; ensuring compliance with health and safety regulations.

  • Frequently monitors Facility Department time clock entries and Labor Balancing including processing, filing and tracking Facility Department leave absences.

  • Consistently records, transcribes and distributes monthly department meeting minutes.

  • Participates on emergency preparedness planning team.

  • Receives, manages, and processes work order requests (E2); ensures problems are resolved quickly.

  • Coordinate office and parking space allocation.

  • Stay up to date and knowledgeable with all Shields Manufacturing policies and procedures and perform work in compliance with policies and procedures.

  • Consistently and reliably work the schedule as provided by manager, with occasional overtime as requested.


  • Minimum 2 years? experience in administrative support of senior level management.

  • Excellent organizational skills, with the ability to pay attention to detail with accuracy and effectively multitask in a fast-paced business or manufacturing environment.

  • Ability to effectively prioritize and meet deadlines.

  • Ability to perform simple calculations including adding, subtracting, multiplying, dividing, percentages, whole numbers and simple fractions. Ability to accurately use formulas involving these calculations.

  • Must possess professional and effective business writing and verbal communication skills, at all levels of the organization and with external contacts.

  • Experience with efficiently using office machines including phones, copier, fax machine, and printers.

  • Must be able to navigate in a Windows based computer environment.

  • Experience with basics of Microsoft Office, including Outlook (email and calendaring), Excel (data entry and management, report formatting, sorting), and Word (for example letters, forms, flyers).

  • Eligible to work in the U.S.


  • Administrative and/or MRO purchasing experience in a manufacturing environment.

  • Previous experience with other manufacturing functions, such as planning or scheduling.

  • Experience with MRP systems (Global Shop and E2 experience a plus).

  • Previous relevant SMI experience and basic company specific knowledge.

  • Available to work from 8:00 AM to 5:00 PM Monday through Friday standard minimum schedule, or as otherwise assigned by manager. Overtime including coming in earlier, staying later or weekends as required.
