Description

The Oregon Supreme Court is hiring an Analyst 1.

The purpose of this position is to provide high-level administrative support to the Appellate Legal Counsel and general support to the justices and other court and records staff, and to coordinate the Oregon Supreme Court Extern Program. The person in this position serves as an all-purpose generalist, who regularly and independently handles a broad range of tasks that are an important part of the Oregon Supreme Court's operations.

The successful applicant will be an effective communicator to a variety of audiences, will be able to quickly prioritize and re-prioritize the workload, and is able to meet frequent deadlines despite interruption and distraction.

Duties & Responsibilities

Typical job duties may include, but are not limited to, the tasks listed below. Assigned tasks may be changed to accommodate workload and organizational needs.

Administrative and Legal Support

  • Verify status of pending cases.

  • Use various OJD enterprise technology to enter, update, and track case related information.

  • Identify appropriate legal categorization of issues for allowed petitions for review.

  • Prepare monthly "issue summaries" report, organized by legal issue for use by court legal staff.

  • Coordinate all aspects fo work environment needs for incoming and outgoing legal staff.

  • Work with other divisions to meet workload demands.

  • Train new staff to use OJD applications such as Appellate Case Management System, OnBase document repository, Unity Client, Odyssey, and other enterprise technology.

  • Provide secretarial services to Appellate Legal Counsel and other members of the court's legal staff.

  • Edit documents for grammar, accuracy, and completeness per the court's style manual.

  • Assist legal staff with various electronic resources.

  • Research, update, finalize, and circulate a narrative conference report about opinions, petitions, motions, etc..

  • Run independent reports in appellate case management system to confirm correct entry of data.

  • Identify errors and determine appropriate means of data entry correction to resolve any issue, according to established protocols for appellate case management system.

  • Notify appropriate persons about needed corrections.

  • Transcribe legislative history for legal staff.

  • Maintain and update semi-annual, multi-part death penalty report.

Communication and Outreach

  • Prepare media releases summarizing decisions.

  • Notify interested persons or organizations of of issuance of media releases.

  • Update court's website.

  • Coordinate webcast of oral arguments after determining case confidentiality status.

  • Schedule Oregon Supreme Court Building's historical building tours to schools and other interested groups.

  • Plan and coordinate all aspects of the appellate courts' law clerks extern program, including recruitment, orientation, evaluation, and tech support.

  • Plan and coordinate continuing legal education for court's new law clerks, as well as other appellate law clerks.

  • Assist appellate legal counsel in all aspects of new law clerk orientation.

  • Assist appellate legal counsel with case-related correspondence and constituent mail.

  • Assist with staff training, as needed.

Working Conditions

This is a full time position and the work schedule is currently 8:00 a.m. to 5:00 p.m., Monday through Friday. It is eligible for overtime compensation for hours worked in excess of 40 per work week.

Occasional overtime or after-hours work may be required.

Occasional phone and in-person contact with people from diverse backgrounds.

High-production environment, with multiple deadlines that must be tracked, including a heavy volume of data entry and service requiring detail orientation, a team work philosophy, and multi-tasking abilities.

Climbing a ladder to retrieve files may be required.

Lifting up to 25 lbs. of office materials or equipment may be required.

Long periods of sitting and standing are required.

Daily use of office equipment that may include the following: telephone, calculator, personal computer with multiple monitors, printer, scanner, fax, and copy machine.

Qualifications, Required & Requested Skills

Minimum Qualifications

The qualified candidate must have at least three years of increasingly responsible paraprofessional level experience performing administrative, analytical, and secretarial support duties.

AND

Possession of a high school diploma or GED, or equivalent life or work experience.

OR

Any combination of education and experience equivalent to four (4) years that typically supports the knowledge, skills, and abilities for this position.

Salary

The Judicial Department's practice is to begin employees at the first pay step. However, a higher starting pay rate may be considered depending upon the applicant's education and experience.
