Description:

The purpose of this position is to work in cooperation with a close-knit leadership team in the core departmental hub (along with the Department Manager, Chair, Associate Chair, and one other staff members) whose overarching mission is to create, maintain, and optimize positive, service-oriented systems of support, communication, and information to enhance the work and well-being of all members of a complex, busy, and highly successful academic unit.

General functions of this position include reception and departmental support functions: (1) communication with members of the university community at the reception area, by phone, email, website, etc.; (2) support of the internal organization of department by maintaining information systems, filing, etc.; and (3) daily trouble-shooting and problem-solving.

Specialized functions of this position include: (1) coordinate the front office area and assist in training & supervising student workers; (2) support the undergraduate program and act as adjunct liaison; (3) provide support to the Department Manager for departmental financial functions; (4) provide support for Promotion, Retention, and Tenure (PRT) functions; and (5) provide back-up for the other staff as needed.

This position works primarily under the supervision of the Department Manager, but also takes direction from both the Chair and Associate Chair as needed. Tasks may be re-distributed depending on workload.

Minimum Qualifications:

  • Experience in a demanding office setting with exceptional multitasking, prioritizing, and troubleshooting skills to meet goals and deadlines.
  • Demonstrated strong organizational skills with attention to detail, including the production of accurate data and documents.
  • Demonstrated strong social and communication skills, both verbal and written, with a professional attitude and demeanor, and a positive track record of excellent working relationships.
  • Ability to remain calm in a fast-paced environment and work well with/assist a diverse clientele.
  • Demonstrated ability to work well as part of a team and also be self-directed, proactive and able to initiate activities.
  • Working knowledge and proficiency with Microsoft Office especially Word and Excel. Ability to learn new software and website management.
  • Reliable attendance.

Preferred Qualifications:

  • Six months or more of experience in higher education.
  • Experience with Web Content Management.
  • Experience using Banner or similar multi-user database.
