JOB SUMMARY Markets, sells and contracts WRC conference spaces, lodging, catering, gaming and special activities to corporations, tour operators and other organizations. Coordinates detailed arrangements for upcoming groups including, but not limited to invoicing and follow-up. Persistently communicate account details with internal and external customers. ESSENTIAL JOB FUNCTIONS: *Ensure customer satisfaction through prompt, efficient and friendly service. *Develop thorough understanding of the property functionality, how WRC provides solutions for our customers, and how each department is dependent upon the other for WRC success. *Identifies prospective sales market and develops leads. *Determines target market needs and wants and develops products and solutions to respond to those desires. *Makes sales calls, visits, and presentations; recommends direct mail, trade show participation, advertising, etc., to communicate product benefits and offers. *Confirms prospects needs and works closely with appropriate department to develop proposals and costs. *Negotiates prices, comps, waivers, fees, etc. *Sets-up client account in appropriate software including room blocks, initial meeting space, and details billing information for hotel rooms, catering, facility rental and additional items purchased by group. *Completes account contracts and sends to account with required financial documents, and additional information as maybe helpful to account. *Ensures proper contracts are signed, agreements understood, details adhered to, financial obligations met. *Communicates and coordinates clients’ needs effectively with appropriate departments in regards to set-up, catering, supplies, services, lodging, security and/or transportation. *Confirms that all arrangements are secured prior to arrival date. Greets clients, and makes themselves available to ensure all contractual arrangements are satisfactory and routinely checks in with client. *Post-event, follows up with satisfaction survey, solicits comments, responds accordingly, and rebooks. *Works with tour operators and group organizers to secure over night and day trips. Secures subsidy applications. *Maintains accurate records of all prospects and clients, status reports, pre- and post-event information. *Analyzes and keeps abreast of developments in group travel, incentive travel, meetings, conferences, trainings, group catering and amenities *Develop related activity reports and weekly progress reports. *Comply with regulatory laws, PPandP, department policy and procedures, safety codes, etc. *Promotes a clean, safe and healthy work environment for employees and guest. Promptly reports all concerns to supervisor. *Ensure that operation of equipment, tools and materials are handled in a safe manner. *Promote internal guest service standards through courteous and respectful behavior. *Performs other related tasks as assigned. MINIMUM QUALIFICATION *Two (2) years direct experience in hotel, hospitality and venue sales. *Experience in hotel and/or sales management systems. *High School Diploma or GED. *Demonstrate proficiency in word processing, spreadsheet, and other various computer software. *Strong organizational, customer service and communication skills. *Must be able to travel extensively and possess reliable transportation. *Must be able to deal with stressful situations. *Professional appearance and personal hygiene habits. *Effective communication skills - verbally able to provide instruction, respond to questions, and have exceptional interpersonal skills and abilities. *Physically able to work/sit for long periods at work/computer station and perform repetitive motion of arms
