Harder Mechanical Contractors Estimating Assistant in Milwaukie, Oregon

Min. Experience:

Role Abstract

The Estimating Assistant will aid senior management and estimators in the pursuit of new work by efficiently finding information necessary to generate and submit bids to customers. This person will also work directly with the estimating team on current projects to ensure document control, assemble bid binders, solicit bids from subcontractors and vendors, and maintain accurate database of prequalified firms.


  • Download and organize bid documents from clients and online portals

  • Communicate with the estimating team and customers to identify materials needed and establish a time frame for completion

  • Contact potential vendors and suppliers to solicit pricing when necessary

  • Coordinate with estimator(s) and project directors to assemble complete estimates

  • Navigate online portals to upload final estimate to client

  • Maintain bid documents by updating, organizing, and saving information according to established file structure

  • Keep accurate records of subcontractor and vendor prequalifications

  • Work with colleagues across departments to gather necessary information

  • Assist in the transition from preconstruction planning to project team

  • Provide administrative support to the estimating team

  • Keep up-to-date with new trends/technology within the industry


  • High school diploma or GED equivalent

  • Strong basic math skills: will frequently perform multiplication, division, percentages, fractions, conversion of units of measure

  • Computer skills: Web navigation, document scanning, typing, Excel, Word, Outlook

  • Strong professional communication skills

  • Detail oriented, ability to multitask, and have flexibility

  • Preference for working in a fast-paced environment driven by client deadlines

  • Ability to manage priorities in high pressure situations such as heavy/varying workload

  • Logical troubleshooting skills

Nice to Haves

  • 3+ years experience in a construction or manufacturing environment

  • Experience in utilizing Auto/CAD and other drafting tools preferred

  • Ability to read construction drawings preferred
