Duties & Responsibilities

Duties and responsibilities include, but are not limited to:

  • Office reception duties, including answering multi-line phone system, assisting walk-in customers, and processing incoming and outgoing mail.

  • Opening case files. Entering or retrieving data in the case management, docketing or document management systems. Docketing critical deadlines.

  • Assembling and maintaining physical case files. Organizing and maintaining filing systems. Preparing inactive files for closure.

  • Typing a variety of correspondence. Photocopying, scanning or collating documents. Operating and maintaining office equipment. Processing daily incoming and outgoing mail.

  • Maintaining section legal library materials, section supplies, and making deliveries outside of the office to various courts.

Working Conditions: Open office environment which includes noise from phones, printers, copiers, person to person conversations, and other office equipment. Frequent interruptions. Bending, stooping, pushing and lifting are a regular part of this job. Frequent lifting of boxes weighing up to 45 pounds; moving of boxes using a hand truck. Use of a computer keyboard for daily data entry and typing, sometimes for long periods of time. Multiple daily tasks with limited supervision. Required deadlines, sometimes with short notice. Occasional overtime hours on weekends and evenings. Frequent exercising of judgment regarding procedures to be followed, remedies sought and responses generated. Errors in this position could result in serious consequences for the program's effectiveness in identifying businesses that pose the greatest threat to consumer. Work well with a team and individually. Some contact with hostile and angry people.

Qualifications, Required & Requested Skills

Minimum Qualifications

  • Completion of courses or training in Office Technology; OR

  • One year of general clerical experience which included typing, word processing, or other generation of documents; OR

  • An equivalent combination of training and experience.

Work experience is based on a 40 hour work week. (Example: 20 hours a week for one year would equal six-months of work experience.)

Requested Skills and Attributes

  • Prior experience supporting professionals in a legal or government office.

  • Able to work with sensitive subject matter, including graphic evidence and be subject to discussions regarding difficult subjects.

  • Demonstrated ability to communicate information about programs or services, both verbally and in writing.

  • Experience with working independently, prioritizing own work and meeting time sensitive deadlines, at times with little notice.

  • Able to maintain punctual and regular attendance.

  • Able to lift and safely transport supplies and document files.

  • Prior experience using Multi-Functional Devices (MFD).

  • Able to communicate effectively with all levels of personnel and management.

  • Prior experience with multi-line phone and other front-desk operations.
