Job Description:

PURPOSE OF POSITION: The Payroll Specialist serves all employees of Oregon Medical Group by auditing time sheets and payroll data to ensure the correct payment of employees as well as assisting the Payroll Coordinator with back-up payroll processing and special projects. The Payroll Specialist serves the Accounting team and Controller by producing various payroll-related management reports.

TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, occasional standing, bending, stooping, and occasional lifting of up to 50 pounds. Requires hand/eye coordination and manual dexterity sufficient to operate a keyboard, telephone, photocopier, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires the ability to work under stressful conditions and time constraints.

TYPICAL WORKING CONDITIONS: Normal office environment.


  • Audit timesheet details. Clarify inconsistencies with managers/leads and assist with questions regarding time punch entry and PTO usage and coding.

  • Process pay rate changes and calculate any retroactive wages due.

  • Process department or position changes and make changes in the payroll system.

  • Process new hire paperwork and make payroll related updates in the payroll system.

  • Assist the Payroll Coordinator with back-up payroll processing and preparing post-payroll reporting as needed.

  • Prepare inter-company envelopes with payroll checks to send out via courier or through U.S. mail.

  • Assist employees in understanding payroll calculations and deductions. Investigate problems and make appropriate corrections as necessary.

  • Prepare termination checks.

  • Add timeclock punches to employee timecards for staff meetings.

  • Prepare various bi-weekly and monthly reports for managers and develop ad hoc reports as needed.

  • Scan payroll documents and maintain digital archive.

  • Perform other duties as assigned.

Experience and Skills:

PERFORMANCE REQUIREMENTS: Knowledge of payroll practices and procedures. Strong computer skills with emphasis on Excel. Attention to detail and the ability to prepare records in accordance with detailed instructions. Ability to work effectively with co-workers as a team member and to communicate clearly and maintain strictest confidentiality while interacting with various levels of employees and management.

EDUCATION: Equivalent of a high school diploma. Payroll certification preferred.

EXPERIENCE: Two to three years of payroll experience preferred.
