Lionbridge Technologies Information Management Specialist in Corvallis, Oregon

Lionbridge is looking for an Information Management Specialist in Corvallis, OR. The ideal candidate is self-directed, highly organized, and detail-oriented. The top candidate must have excellent written and verbal communication skills, with a critical ability to communicate and to ensure documentation records are maintained to defined standards and policies.

Job description

  • The primary role includes the following:

  • Oversee and manage the documentation Change Management process, including the management (creation, routing, approval, and archiving) of Controlled Documents

  • Manage “Master List” of Controlled Documents

  • Use standard change management and Controlled Document tools and applications

  • Close gaps in document approvals as needed

  • In addition, ensure that all compliance documents are kept current, appropriately, and accurately stored/housed, and archived.

  • Oversee the Records Management program for our client’s team

  • Support the team in the execution of their responsibilities listed in the Records Management Policy.

  • Ensure the team is in compliance with Records Management policies and requirements.

  • Audit experience and/or experience with document management system requirements (such as ISO/GMP) a plus

  • Manage any organization-owned Records Management policies and procedures that are designed to ensure compliance with the Records Management policies and requirements.

  • Ensure communications regarding the Records Management program are delivered across the team

  • Quarterly reporting on the state of the Records Management program.

  • Ensure that documentation required to meet both ISO and Vertical Market requirements is kept current, and meets compliance and audit expectations

  • Documents necessary to support compliance claims

  • Manage retention and archiving requirements

  • Manage SharePoint sites that house key documentation

  • Identify those sites and compliance/audit records

  • Develop and manage backup and recovery plans as determined to be appropriate

  • Updates and maintenance

  • Training Coordinator for the team relating to auditable and compliance documentation

Preferred skills and experience

  • Proficient with Microsoft Office tools

  • Familiarity with change management processes

  • Very well organized, and experienced with records management

  • Creative thinking; has the ability to develop and implement processes where none may exist, or where existing processes may be insufficient

  • Familiarity with compliance-related documentation, change control of key/critical process documents, and change management “best practices”

  • Familiarity with 3rd party audit processes and requirements

  • Ability to work in a dynamic and technically challenging work environment, across a diverse set of stakeholders and team members, several in a variety of countries and time zones

  • Excellent leadership, verbal and written communications, with the ability to operate independently and collaborate effectively across the team
